We are now recruiting for a Facilities Officer, based in Kingston upon Thames. This role will form a vital part of the delivery of the Facilities service that supports the entire B2C business.



Job Accountabilities




Service desk management – to represent the department by ensuring all requests for assistance are recorded, delegated to the appropriate service provider and responded to within the SLA’s and KPI’s set out by the department.
Supplier information – maintain the departments supplier information, including address book, emergency contact details and other key information ensuring this is up to date at all times.
Procurement and stock control - responsible for ensuring sufficient supplies of items including stationery, office consumables and refreshments are maintained. Raising Purchase Orders to service providers and for requests for ad-hoc credit card expenditure.
Print - Obtain quotes from printers along with proofs and send out to relevant stakeholders to authorise and check.
Third Party Contractors – to support the Facilities Manager in the control and monitoring of third party service providers, such as cleaning, maintenance and security.
Space management – Assist with the planning and execution of all space movements and desk changes.
Internal Communications - To Deputise for Facilities Manager by sending Facilities related e/mails to relevant stake holders. To include notice of works that may impact on our customers, Security Announcements. To assist in the editing and production of the Facilities “Yammer” page used to represent the department to the wider business. This will include creation of announcements and news articles and ensuring the departmental information is up to date and accurate.
Security – supporting the delivery of internal Security policies and processes and owning the Joiners and Leavers processes, ensuring we are always on top of requests for access cards and passes.
Cleaning – to assist the Facilities Manager in monitoring the day-to-day cleaning regimes and to actively promote recycling.
Health and Safety – to assist the Facilities Manager in the management of Health and Safety including in conducting Fire Evacuation drills and fire and first aid equipment audits, DSE and other Risk Assessments.
To provide cover for the Receptionist during their lunch period and at other times as required.




Qualifications, Skills & Experience






GSCE or equivalent qualification in Maths and English at grade C or above.
Knowledge of Microsoft Word, Excel and outlook.
Excellent customer service skills - adapts a flexible approach when required. Builds rapport with all internal and external customers and suppliers. Thoroughly investigates all customer issue before resolving effectively and appropriately.
Exceptional organisational skills
Working with People - Demonstrates an interest in understanding of others, consults others and communicates proactively.
